Our role is to support clarity, structure, formatting, language quality, and presentation. The client remains responsible for the accuracy, originality, research integrity, and final submission of the work.

Client Responsibilities

To complete your project properly, you must provide accurate and complete information. This may include your manuscript, document files, subject area, service requirements, deadline, formatting instructions, journal guidelines, university requirements, publisher instructions, or platform details.

You are responsible for:

• Providing the correct file for review
• Checking all final edits before submission or publication
• Ensuring factual accuracy of your work
• Confirming references, citations, data, figures, tables, and claims
• Following your institution, journal, publisher, or platform rules
• Making final author-side decisions on edits and comments
• Responding promptly if our team needs clarification

We are not responsible for delays, errors, or missed requirements caused by incomplete instructions, incorrect files, unclear information, late responses, or changes requested after the project has started.

Scientific Proofreading supports ethical academic and scientific writing. We do not encourage or assist with plagiarism, fabrication, falsification, ghostwriting of academic submissions, or any form of academic misconduct.

Clients are responsible for ensuring that the use of our services complies with their university, institution, journal, publisher, employer, funding body, or professional standards.

Quotes, Orders, and Payments

Prices are based on the service type, word count, document complexity, subject area, deadline, formatting requirements, and level of editorial work required.

Before work begins, we may provide a quote based on the information supplied by the client. If the actual document or instructions differ from what was originally shared, we may revise the quote or timeline.

Payment terms will be confirmed before the project starts. In most cases, work begins only after payment, deposit, or written approval has been received.

By making payment, you confirm that:

• You have reviewed the service scope
• You agree to the quoted price
• You accept the agreed timeline
• You understand what is included and excluded

All fees must be paid in the agreed currency and through the payment method provided by Scientific Proofreading.

Turnaround Times

We aim to meet all agreed deadlines. Turnaround times are calculated from the point at which we receive all required files, instructions, and payment or project approval.

Delays may occur if:

• The client submits incomplete files
• Instructions are unclear or change after work begins
• The document is more complex than originally stated
• The client does not respond to questions on time
• Third-party platforms, payment systems, or technical issues cause delays

We will make reasonable efforts to communicate any expected delay as soon as possible.

Revisions and Follow-Up Support

Where applicable, minor revisions or clarifications may be provided after delivery, especially if they relate to the agreed service scope.

Revision requests must be reasonable, specific, and connected to the original project instructions. A revision does not include new writing, new formatting instructions, new journal requirements, additional content, major rewrites, or changes to the project scope unless agreed separately.

Additional work may require a new quote.

Cancellations and Refunds

Because editing, proofreading, formatting, and manuscript support involve time-based professional work, refunds are reviewed based on the project stage.

If you cancel before work has started, we may offer a full or partial refund depending on any administrative, payment, or preparation work already completed.

If work has already started, a partial refund may be considered based on the amount of work completed. If the project has been completed or delivered, refunds are generally not available unless there is a clear service issue that we are unable to resolve.

Refund decisions are handled fairly and case by case.

Manuscript Confidentiality
